Please see the below preventative measures we’re implementing following the recent COVID-19 pandemic; as well as processes put in place should the office need to be closed.

This is an ever-changing situation and we are monitoring it daily. We will follow the Government advice and will keep you informed by sharing any important information and updates.  Therefore, we ask that you all check you emails as this will be the primary communication channel.  Emails will come from Lynn, Davinia or another member of senior management.

A WhatsApp group has been set up with all Team Leads. This will be used for any immediate updates, which will then be communicated to all teams.

Please adopt the following temporary company policy until further notice:

Feeling unwell

  • If you are showing any symptoms (see d) of Coronavirus it is important that you remain at home for 7 days and immediately contact HR
  • If one person in your household has a persistent cough or fever, everyone living there must stay at home for 14 days from the day the first person started getting any symptoms (see d), and you need to immediately contact HR
  • Advise Head of HR if you:
    • have been in contact with someone with coronavirus
    • have returned from an affected area identified by the Chief Medical Officer as high risk
    • have been in close contact with somebody who has recently visited a high risk area
    • are feeling unwell with a high temperature – you feel hot to touch on your chest or back or a new, continuous cough – this means you’ve started coughing repeatedly and you need to stay at home for 7 days – do not go to a GP surgery, pharmacy or hospital
    • anyone you live with has a persistent cough or fever and you need to stay at home for 14 days – do not go to a GP surgery, pharmacy or hospital
  • HR will assess each situation and may advise you to use the NHS 111 online coronavirus service or call NHS 111

Ongoing regular communication

  • Regular communication will be sent to internal and KX/retail staff and Mashers – following any Government or WHO updates and recommendations
  • Client Operations Director and Head of HR will hold status/update meetings daily
  • All internal comms will be sent via internal@mashstaffing.com and will come from either Lynn or Davinia
  • This information will then be cascaded as follows (when required):
    • Business Unit Director to send to KX staff
    • Talent Executive to send to Mashes via Liveforce
    • Senior Account Manager to send to his team at Nike/SDI where relevant

General hygiene

  • Wash your hands more often than usual, for 20 seconds using soap and hot water, particularly after coughing, sneezing and blowing your nose, or after being out and particularly after being on public transport. Use hand sanitiser if that’s all you have access to
  • To reduce the spread of germs when you cough or sneeze, cover your mouth and nose with a tissue, or your sleeve (not your hands) if you don’t have a tissue, and throw the tissue away immediately. Then wash your hands or use a hand sanitising gel

Office Shut Down Process

All Mash HO employees are now working from home adhering to the following process and our Business Continuity Plan (please see separate document):

  • The Management Team are holding daily meetings
  • A daily update meeting will then be held with all Team Leaders, who will in turn cascade communications to their teams
  • Phones are diverted remotely and a rota system has been put in place – if you have any issues with phones please let the Client Operations Director know
  • A message has also been recorded advising all callers to contact Mash employees on their mobiles or email them
  • TL’s to send comms to client advising office is closed and to contact Mash staff on mobiles
  • Log on and work remotely
  • If you have any laptop issues or you don’t have any access to a laptop please let the Client Operations Director know immediately
  • Use Google Hangouts for any meetings – internally or with clients
  • There will be no company international travel with immediate effect
  • If you are planning a holiday to a high risk area, please advise HR immediately
  • Work the same hours of work e.g. 9 am to 5.30 pm, make sure you are available on email and mobile, as it will be business as usual
  • A deep clean of the office will be arranged if necessary and advice sought from the local authorities (Southwark Council)
  • Depending on the duration of the office closure; regular communications and updates will be sent out via internal@mashstaffing.com (these will come from either Lynn or Davinia) and you must await formal instruction that the office has been re-opened
  • As necessary, staff must not visit the office until any period of self-quarantine or possible infection is expired
